Assembles background material for agenda itemsand informs participants of topics to be discussed.-Arranges, attends, and serves as recorder at executive meetings andconferences and monitors such in order to identify and summarizedecisions and commitments; and to followup on action items withparticipants or support personnel. Serves as a facilitator formeetings that may require the need for facilitation.-Arranges and coordinates travel for the Area Manager and DivisionChiefs, including scheduling meetings/visits. Secures travel, hotelreservations, car rentals, and more.-Coordinates and maintains calendars, and schedules appointments forthe Area Manager and Division Chiefs.-Receives and screens telephone calls and visitors, and whereverappropriate, either supplies desired information or directs callerto appropriate supervisor or Division Chief for action, taking intoconsideration the Area Manager's interests and desires. Takestelephone dictation from Area Manager's and Division Chief's, andothers, callers, on matters requiring a written record for theirreview or information.-Conveys information requests from Area Manager to individual staffmembers. Collaborates with Administrative Officer on informationflow and special activities affecting total organization. MaintainsArea Manager's working files in current status and also maintainshis/her personal technical library.-Identifies inefficient operations and takes appropriate action,using own initiative, to correct the problem.-Responsible for training and maintenance of time and attendance forthe Office of the Area Manager.-Ensures implementation and maintenance of the NCAO New EmployeeOrientation Program. Ensures all new employees receive a full andcomplete orientation within the first week of reporting, andprovides followup and assistance as required during the initialmonths of employment.-Serves as backup FOIA coordinator for NCAO.-On own initiative composes replies for the Area Manager andDivision Chiefs regarding general inquires on such matters asappointment confirmation; dates and arrangements for visitinggroups, meetings, conferences; letters of appreciation; thank younotes; and correspondence of a personal or nontechnical nature.-Takes notes during consultations with Area Manager, DivisionChiefs, and others, in the preparation of correspondence and reportscovering the full range of problems dealt with by the Area Office.The vocabulary includes engineering terminology in the civil,hydraulic, electrical, and mechanical fields.-Trains office automation clerks by conducting clerical meetings aswell as conducting special training for higher graded authors in theNCAO. Provides input for Reclamation Handbook through meetings,reviewing proposed written changes, and through personal contact.-Receives and reviews classified and unclassified mail. Determinesif appropriate action has been assigned.-Inventories the Area Manager's and Division Chief's mail basketperiodically, rearranging material and prioritizing work accordingto suspense dates, ensuring deadlines are being met and mail ismoving in a timely manner.-Advises the Area Manager, Division Chiefs, and other management ofimportant office matters arising during their absence and brings totheir attention significant items in reports, files, andcorrespondence.-Types a variety of narrative and tabular materials from handwrittenor typed drafts, and oral instructions.
